This Privacy Policy explains what information we collect when you visit rotaractblreast.org or interact with us online, how we use it, and what rights you have in relation to it.
Please read this policy carefully. If you have questions, you can reach us at [email protected].
Scope
This policy applies to information collected through this website and its associated online services (the membership application form and the newsletter subscription). It does not apply to information collected in person at club events, through external social media platforms, or through Rotary International’s own systems and platforms, which are governed by their respective privacy policies.
What information we collect and why
Membership application
When you submit a membership application through the Join page, we collect:
- Full name, email address, phone number, date of birth, and gender
- Residential area or locality
- Social media handle (optional)
- Academic institution or employer name
- Information about your Rotaract experience, motivations, hobbies, and areas of interest
This information is used exclusively to evaluate your application for club membership. It is stored in a private Google Sheet accessible only to authorised club officers. Submitting an application does not guarantee membership.
Newsletter subscription
When you subscribe to our newsletter, we collect your email address only. We use it to send you periodic updates about club news, events, and causes. You can unsubscribe at any time by following the link in any email we send, or by writing to [email protected].
Website analytics
We use Google Analytics to understand how visitors use the website. Google Analytics collects information such as your IP address (anonymised), browser type, operating system, pages visited, time spent on pages, and the website or search engine that referred you. This information is aggregated and does not identify you personally. We use it solely to improve the website and our content.
You can opt out of Google Analytics tracking by installing the Google Analytics opt-out browser add-on, or by enabling “Do Not Track” in your browser settings.
Reviewer portal (/connect)
The /connect path is a private portal used exclusively by authorised club officers to review membership applications. When an officer logs in, a cryptographically signed session token is stored in the browser’s localStorage. No personal data about applicants is stored in this local token. Session activity is logged (login time, last active time, device type) in the private Google Sheet for security purposes. This portal is not accessible to or intended for general visitors.
Server logs
Our hosting provider (Netlify) automatically logs standard web server data, including IP addresses, browser type, HTTP request details, and timestamps. These logs are used for security and infrastructure monitoring and are governed by Netlify’s Privacy Policy.
How we use your information
- To process and evaluate your membership application
- To send you club news and updates you have opted in to receive
- To understand how the website is used and improve it
- To maintain the security of our systems and reviewer portal
- To comply with our obligations under applicable law and Rotary International’s Code of Conduct and Code of Policies
We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes. We do not run advertisements on this website.

We use the following third-party services in the operation of this website. Each has its own privacy policy governing how they handle data:

Cookies and local storage
Google Analytics places cookies in your browser to distinguish visitors and track sessions. These are analytics cookies and contain no personally identifiable information.
The reviewer portal (/connect) stores a session token in your browser’s localStorage to keep you logged in. This is limited to authorised reviewers only and is not set for general visitors.
No advertising cookies, tracking pixels, or third-party marketing cookies are used on this website.
You can control or delete cookies through your browser settings. Disabling analytics cookies will not affect your ability to use the website.
Data storage and security
Application and newsletter data is stored in Google Sheets hosted on Google’s servers, which are predominantly located in the United States and other jurisdictions where Google operates data centres. Google’s infrastructure complies with internationally recognised security standards. If you are located in the European Union or another region with data transfer restrictions, please note that by submitting a form you consent to this transfer.
We implement reasonable security measures, including cryptographically signed session tokens for the reviewer portal and access restricted to authorised officers only. However, no internet transmission is completely secure, and we cannot guarantee absolute security.
Data retention
- Membership applications: Retained for the duration of the review period. Unsuccessful applications are retained for a reasonable period in case of appeals or re-applications, and then deleted or anonymised.
- Newsletter emails: Retained until you unsubscribe.
- Analytics data: Subject to Google Analytics’ standard retention settings (26 months by default).
- Reviewer session logs: Retained for up to 12 months for security auditing.
